Sonoma County Pride Celebration 2012
A Celebration for Sonoma County’s LGBTQI Community, Friends & Allies
Sunday, June 3, 2012 Noon – 6 PM
at Guerneville Lodge, 15905 River Road, Guerneville, CA 95446
Featuring: Entertainment, Food, Information, Family Fun & More!

► Check-in is between 8 AM – 11:30 AM
► Vendors will not be allowed to set up after Noon, June 3, 2012
► The Guerneville Lodge is located at 15905 River Road in Guerneville, Ca.
► Vendor access into the celebration area by vehicle will be for drop off purposes only
► Vehicles are allowed to drive on the designated driveway only. All trucks are to be removed from the property, including the main parking lot, prior to the opening of the celebration.
► You will be assigned a 10 X 10 area (unless you have made other arrangements). Vendors must provide their own tables, chairs and shade material, etc.
► This is a GREEN event. Use of any plastics must be biodegradable and paper products must be recyclable.
TERMS AND CONDITIONS: Exhibitor/Vendor (E/V) agrees to the following:
1. Reservations are approved on a “first-come basis” and are secured after payment is acknowledged by the Chair of the Vendors Committee. Booth reservations and payments should be received no later than May 25, 2012.
2. A booth space is 10 feet by 10 feet.
3. Cancellation of a paid, approved reservation must arrive in writing by regular mail at the RRSPPC’s post office box no later than Monday, May 21, 2012. Space fees (other than those for E/Vs on the “Waiting List”) will not be refunded if requested after May 21, 2012.
4. We are planning for a strong turnout this year, at the Guerneville Lodge, but the RRSPPC makes no guarantee of event attendance or appearance by any specific or advertised performer(s).
5. Space locations are assigned at the sole discretion of the Celebration, on a first come, first served basis, which reserves the right to make necessary changes to assignments at any time prior to the start of the Celebration.
6. E/V will abide by all applicable laws, ordinances and regulations pertaining to health, fire prevention, public safety, business licenses, and sales tax permits.
7. “Check-in and set-up time” is between 8 AM and 11:30 AM, on June 3, 2012. Failure to check in and occupy your assigned booth space(s) by 11:30 will result in forfeiture of the space(s).
8. All vehicles must be off the Guerneville Lodge property by 11:45. E/Vs will be assigned an arrival/set up time to smoothly facilitate set up for all participating E/Vs.
9. E/V is solely responsible for the safe and secure transportation, set-up and care of their vehicles, equipment, supplies, products, personal property and other items.
10. Spaces are open-air and rented “as is”. The RRSPPC does not supply equipment, supplies (chairs, tables, awnings), tools or electricity. Electricity, if needed, must be provided by vendor’s generator or battery supply. Cover, providing shade from the sun, is strongly suggested for E/V’s. E/V must provide whatever they will need and warranty that it meets all safety standards and will be handled and operated by trained E/V personnel only.
11. Space(s) must be staffed by the E/V during all Celebration hours and E/V staffers must adhere to the operational and safety policies of the Celebration and Sonoma County Codes.
12. The Celebration is a drug-free event.
13. E/V will leave their space(s) clean and clear of refuse by the close of the Celebration take-down period. Failure to do so will result in a $100.00 per space “cleaning fee” charged to the E/V to recompense the Celebration and will be payable in full within 14 days of the event.
14. To maintain the dignity and integrity of the event, the RRSPPC reserves the right to ask any E/V whom they believe is not acting in the best interest of the Celebration to leave the Celebration area. Alcoholic beverages, third party sponsorship, amplified sound or generators are not to be sold, displayed, distributed or otherwise present at the Celebration without the prior approval of the RRSPPC.
15. The RRSPPC reserves the right to deny sale and/or distribution of items not specifically listed on this application or connected with another authorized E/V.
16. The RRSPPC nor its Producers will not be liable for any refunds, or any liabilities whatsoever, for the disruption of the Celebration due to fire, weather, strikes, terrorists, wardrobe malfunctions, “Acts of God” or any other cause.
17. This is a GREEN event. Use of any plastics must be biodegradable and paper products must be recyclable.
18. A Vendor packet with instructions and an assigned unloading time will be forwarded to each Exhibitor/Vendor sometime during the week of May 21st to 25th 2012. Please be sure to let us know if you anticipate a lengthy unloading time.
